REFUND POLICY

Reservation Retainer

A non-refundable reservation retainer of $125 is required to secure an event date
and time.

The reservation retainer:

  • Holds the event date exclusively for the Client
  • Is applied toward the total rental balance.
  • Is non-refundable under all circumstances.

Payment Schedule

The remaining balance is due no later than fourteen (14) days prior to the event date. Reservations made within fourteen (14) days of the event date require full payment at the time of booking. Failure to make required payments by the due date may result in cancellation of the reservation, forfeiture of any payments made, and release of the event date for rebooking.

Client Cancellations

All cancellation requests must be submitted in writing.

More than fourteen (14) days before the event date:

Any payments made beyond the non-refundable $125 reservation retainer will be
refunded.

Fourteen (14) days or less before the event date:

No refunds will be issued.

Because The Fawnlight Room reserves the event date exclusively for the Client and
may be unable to secure a replacement booking on short notice, all payments
become non-refundable within fourteen (14) days of the scheduled event date.

Date Changes

Requests to change an event date are subject to venue availability and must be approved by The Fawnlight Room. Approved date changes may be subject to current pricing and must occur within twelve (12) months of the original event date. Date changes requested within fourteen (14) days of the event date may be treated as a cancellation and are not guaranteed.

Venue Cancellation

If The Fawnlight Room must cancel an event due to circumstances that make the venue unavailable, the Client will receive either:

  1. A full refund of all amounts paid, including the reservation retainer; or
  2. The option to transfer all payments to a mutually agreed-upon future date.

This shall be the Client’s sole remedy in the event of venue cancellation.

SECURITY DEPOSIT

$100 Refundable Security Deposit

Refund issued if:

  • No damage occurs
  • No policy violations occur
  •  No excessive cleaning is required

Refunds are typically processed within 7–14 business days following inspection.

FORCE MAJEURE

If cancellation occurs due to circumstances beyond the control of either party,
including natural disasters, government restrictions, or facility damage, clients may
choose:

  • A full refund, or
  • Rescheduling at no additional charge

Does not apply to personal or client-related circumstances.

NO-SHOW POLICY

Failure to appear without prior written cancellation results in forfeiture of all
payments, including retainer and security deposit.
