CLIENT RESPONSIBILITIES

Clients are responsible for:

  • Personal décor setup and removal (must be pre-approved)
  • Vendor coordination
  • Removal of all personal belongings
  • Returning the space in substantially the same clean condition in which it was provided, excluding normal post-event sanitizing handled by venue staff

DECOR POLICY

Clients are responsible for:

  • Loose or adhesive glitter
  •  Non-biodegradable confetti
  • Faux flower petals or artificial scatter décor
  • Rice, birdseed, sand, or toss materials
  • Balloon releases
  • Smoke bombs or powder cannons
  • Styrofoam décor
  • Open flames

We encourage the use of reusable, compostable, and sustainable décor whenever possible.

Note: Prohibited items may result in additional cleaning fees and/or loss of security deposit.

ON-SITE STAFF MEMBER

A staff member will be present for:

  • Facility opening and closing
  • Basic assistance
  • Policy enforcement
  • Emergency support

MUSIC & NOISE POLICY

All music must comply with venue regulations. Volume must not disturb surrounding businesses. Excessive noise may result in early event termination without refund.

INSURANCE REQUIREMENT

Event liability insurance is required prior to the event date and must list Fawnlight Grove LLC as an Additional Insured on the policy.

While guests are welcome to obtain coverage through any licensed insurance provider of their choice, we have had positive experiences working with Taylor Fortinberry and highly recommend him based on his professionalism, responsiveness, and excellent customer service.

SETUP & CLEANUP TIME

To help ensure a smooth event experience, each package includes complimentary setup and cleanup time in addition to the rental period.

Mini Keepsake

  • 30 minutes prior to the event for decorating and setup

  • 15 minutes following the event for removal of personal items

  • Additional setup time is not available with this package

The Moss Gathering

  • 45 minutes prior to the event for decorating and setup
  • 30 minutes following the event for cleanup and removal of personal items

Setup and cleanup periods are intended for decorating, vendor arrival, personal item removal, and light cleanup only. Guest arrival and event activities must occur within the reserved rental period.

 

Clients requiring additional decorating or setup time beyond the complimentary periods above may request extended access during the venue tour process or prior to signing the rental agreement. Additional setup time is subject to venue availability and may incur additional fees.
